WalkList Privacy Policy

    Effective Date: February 16, 2026
    Last Updated: October 23, 2026

    1. Introduction

This Privacy Policy explains how It Matters Group LTD ("we," "us," or "our") handles information in connection with the WalkList mobile application (the "App"), available on the Apple App Store for iPhone and iPad.

By downloading, installing, or using WalkList, you agree to this Privacy Policy. If you do not agree, please do not use the App.

    2. Your Data Stays on Your Device

WalkList has no account or login. All tasks, photos, audits, and settings, including checklists, tags, notes, names you enter, and saved reports, are stored only on your device. We do not receive, access, collect, or store this app data.

Data leaves your device only when you deliberately export or share a report or .walklist file yourself. WalkList does not automatically upload or sync your data.

User-entered content: Some features let you enter text into an audit, including the names of colleagues or other individuals you choose to add to an audit, along with notes, tags, and similar content. This content is stored locally on your device only. We never receive, access, or store it. If you record another person's name or other personal information, you are responsible for ensuring you have the authority or consent to do so, and for handling that information appropriately, including when you choose to share a .walklist file.

First-time sharing notice: The first time you use the file sharing feature (.walklist export), the App will present a consent prompt explaining that your file may contain photos with embedded metadata (including location data) and that shared files are not encrypted. You must acknowledge this prompt before your first export. This is in addition to the disclosures in this Privacy Policy.

    File Sharing (.walklist Export)

WalkList allows you to export a .walklist file containing your tasks, tags, and associated photos. This file can be shared with another user or device using Apple's built-in share sheet (e.g., AirDrop, Messages, Mail, or other sharing methods provided by your device).

    • User-initiated only: File sharing occurs only when you explicitly choose to export and send a .walklist file. WalkList does not automatically transmit any data.
    • No server involvement: The .walklist file is transferred directly through Apple's native sharing mechanisms. We do not route, store, intercept, or have any access to shared files.
    • File contents: A .walklist file may contain task data, tags, notes, the names of colleagues or other individuals you have added to an audit, and photo attachments. Any personal or sensitive content captured in your photos, notes, or entered fields will be included in the shared file.
    • Your responsibility: Once you share a .walklist file, you are responsible for ensuring the recipient is someone you trust. We have no control over how the recipient uses, stores, or further distributes the data contained in the file.
    • Photo metadata: Photos included in a .walklist file may contain embedded metadata (EXIF data), such as GPS coordinates, timestamps, and device information. If your device's location services are enabled, shared photos may reveal your location. You are responsible for reviewing and managing photo metadata before sharing. We do not strip or modify metadata from photos during export.
    • File security: .walklist files are not encrypted during export. Once a file leaves the App, its security depends entirely on the sharing method you choose (e.g., AirDrop, email, messaging) and the practices of the sender and recipient. Exercise caution when sharing files containing sensitive or personally identifiable content.
    • International transfers: If you share a .walklist file with a recipient in another country, your data will cross international borders. You are solely responsible for understanding and complying with any applicable data protection laws in your jurisdiction and the recipient's jurisdiction. We do not facilitate, control, or monitor cross-border data transfers conducted through the file sharing feature.
    • Recipient import: The receiving user imports the .walklist file into their own local WalkList instance. Importing requires a purchased copy of WalkList. Once imported, the data is stored locally on the recipient's device and is subject to the same local-only storage practices described in this Privacy Policy.
    • No new data collection: This feature does not introduce any additional data collection by us. We do not log, track, or monitor file sharing activity, including who shares files, with whom, or when. Note that the third-party sharing mechanisms you use to transfer .walklist files (e.g., Apple's AirDrop, Mail, Messages, or other services) may collect their own data in accordance with their respective privacy policies. Such collection is outside our control and responsibility.

    Device Permissions

To provide its core functionality, the App requires access to certain features on your device:

    • Camera: Used to take photos for your checklists.
    • Photo Library / Storage: Used to store photos and save exported PDFs.

These permissions are used only to perform these functions on your device. We do not transmit your photos or files to any server; they remain on your device unless you explicitly export or share a report or .walklist file yourself.

    Tracking and Advertising

WalkList makes no analytics or tracking calls. It does not track you across other companies' apps or websites, use advertising identifiers, or include third-party analytics or advertising SDKs. No app data is collected for analytics, tracking, or targeted advertising.

    No Automatic Data Transmission

WalkList does not send automatic analytics, tracking, or diagnostic reports to us. Apple's own App Store and operating-system services are governed by Apple's privacy policy and your device settings, separately from WalkList's local app data.

    3. How We Use Your Information

The App uses your locally stored data on your device to provide its inspection, audit, and reporting features. There is no account, no login, and no user-created content stored on our servers. We do not sell, rent, or share your app data. If you choose to export or share a report or .walklist file, you select the destination and sharing method. We do not process, access, or store shared files.

    4. Data Storage and Security

All app data, including tasks, photos, audits, settings, checklists, tags, notes, names you enter, and saved PDFs, is stored only on your device. We do not use cloud storage, servers, or remote data hosting for your content.

    • If you delete the App or lose your device, all locally stored content will be permanently lost.
    • If you share a .walklist file, the data leaves your device only through Apple's native sharing mechanisms at your direction. We have no involvement in or visibility into this transfer. Once received, the data is stored locally on the recipient's device under the same local-only policy.
    • If a recipient deletes the App or loses their device, any imported .walklist data on that device will be permanently lost. We have no ability to recover imported data on behalf of any party.

    Data Breach Notification

In the event of a data breach involving personal information that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and any other applicable laws.

    5. Payments

WalkList is a one-time paid App Store purchase of CA$19.99 / US$14.99 (or the local price displayed in the App Store). The purchase is made through Apple before downloading the App. All payments and refunds are handled by Apple under the App Store's terms. We do not collect, process, or store payment or billing information.

Apple's handling of your purchase information is governed by its own policies:

    6. Your Rights and Choices

All content you create in the App is stored on your device and is under your control at all times. You may delete your locally stored content at any time by deleting individual items within the App or by uninstalling the App entirely.

If you have shared a .walklist file with another user, please note that we cannot retrieve, revoke, or delete data that has been transferred to a recipient's device. You are responsible for managing shared data directly with the recipient.

We do not hold any records of your file sharing activity. There is no sharing data to request, access, or delete, as we do not collect, log, or store any information related to .walklist file exports or transfers.

    Right of Access

You have the right to request access to any personal information we hold about you. We do not receive or store your app data, so we cannot access or provide a copy of content stored on your device. To submit an access request or ask a privacy question, contact us at legal@itmattershq.com. We will respond to all access requests within 30 days.

    Device Permissions and Local Data

You can manage the App's device permissions in your device settings and choose whether to export or share any content. You can remove locally stored data within the App or by uninstalling it. We have no remote copy of your app data to delete or recover.

    Data Retention

Your tasks, photos, audits, settings, and other app content remain on your device until you delete them or remove the App. We do not retain a server copy. Reports or files you choose to export or share are controlled by you and any recipients; deleting data in WalkList does not delete those separate copies.

    7. Children's Privacy

WalkList is not directed at children under the age of 13. We do not knowingly collect personal information from children or any other users.

The file sharing feature (.walklist export) allows users to share photos and other content with third parties. Parents and guardians should be aware that minors using this feature may share photos or data containing personal or sensitive information, including embedded photo metadata such as location data. Users under the age of majority in their jurisdiction (19 in British Columbia) must obtain parental or guardian consent before using the file sharing feature. For clarity, the minimum age to use the App is 13, but users aged 13 to the age of majority require parental or guardian consent specifically for file sharing.

    8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted within the App. For material changes, such as the introduction of new data collection practices, changes to how your information is used, or modifications to the file sharing disclosures, we will provide reasonable advance notice through a prominent in-app notification before the changes take effect. Non-material changes (such as formatting or clarification updates) will take effect immediately upon posting. Your continued use of WalkList after changes take effect constitutes your acceptance of the updated policy.

    9. Governing Law

This Privacy Policy is governed by the laws of the Province of British Columbia and the applicable federal laws of Canada, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA). This Privacy Policy is intended to comply with the requirements of both statutes. Any disputes arising in connection with this Privacy Policy will be subject to the exclusive jurisdiction of the courts located in British Columbia, Canada.
